Facilitator FAQ: Retreat Catering and Kitchen Logistics

The Linwood House Guide

By Bailey Creative

When you are leading a multi-day workshop, wellness retreat or intensive training, your attention is the most valuable thing in the building. It needs to be on your attendees, the flow of your curriculum, and the breakthroughs happening in the room.

Any experienced retreat leader knows the fastest way to derail a well-planned programme has nothing to do with content. It has to do with food.

If meals run late, dietary needs are mishandled, or the kitchen setup means you are stepping out of sessions to check on prep, your focus is split all week.

Linwood House is a private retreat centre on five forested acres in Roberts Creek, on British Columbia’s Sunshine Coast. These are the operational questions facilitators ask us most often.

Where does a group gather and eat?

Both happen in the Great Room, and that is deliberate.

The Great Room is the heart of the Retreat Centre — vaulted, open to the bedroom floor above, with a stone fireplace and forest on three sides. It holds a twelve-person harvest table, and additional tables can be set up for larger groups. Sessions happen here through the day. In the evening the same room becomes a dining room by candlelight and firelight, which tends to be the part guests describe afterwards.

Most retreats also spend part of each day upstairs in the Yoga Loft, and groups who want to eat outside have a covered verandah running the length of the main level that stays usable in coastal weather.

How does the layout keep kitchen noise out of sessions?

Through distance, rather than an open-concept plan.

The kitchen sits on the main level with the eating area and foyer between it and the Great Room. It works the way a small hotel kitchen does: far enough that prep and cleanup do not carry into a session, close enough that guests collect their food and drop off plates without walking a corridor. Caterers work normally instead of tiptoeing, and your group is not listening to it.

When a session needs to be completely quiet, the Yoga Loft sits two full floors above the kitchen. Morning meditation upstairs and lunch prep downstairs never meet.

Where does the facilitator stay?

The Garden Suite is a two-bedroom wing on the main level beside the Great Room, and it is included with every booking rather than sold as an upgrade. It gives a retreat leader or a visiting chef somewhere to prep, review notes, or simply close a door — which matters more over four days than most people expect when they are booking. We have an additional larger room perfect for a special guest or facilitator coming online in the spring as well.

What catering models are available, and what do they cost?

Three, depending on your budget, your group, and how much you want to run yourself.

ModelBest forHow it works and what it costs
Fully cateredCorporate offsites, wellness retreats, milestone eventsWe connect you with our network of Sunshine Coast caterers, who handle menu design, sourcing, service and cleanup. Estimated $85–$140+ per person per day.
HybridProfessional trainings, yoga intensives, creative workshopsYou stock breakfast and a coffee station; a caterer handles lunches and dinners. Estimated $45–$80 per person per day.
Self-cateredPeer groups, creative circles, smaller team retreatsYour group cooks together using the Retreat Centre kitchen and the second full kitchen in the Carriage House. Self-managed grocery budget.

What equipment does the kitchen have?

Enough for a professional caterer to work comfortably, and enough for fifteen people to cook together.

  • Second kitchen — the Carriage House has its own full kitchen, useful for co-facilitators or overflow prep.
  • Cooking — commercial-grade six-burner gas range, double wall ovens, high-capacity exhaust.
  • Refrigeration — main refrigerator and freezer in the kitchen, plus a second refrigerator in the Garden Suite for large grocery orders. Worth telling your caterer at booking so they plan their staging around it.
  • Prep and cleanup — stainless and granite counter islands that allow several prep stations at once, and a commercial dishwasher.
  • Beverage station — a separate kitchenette so guests can reach coffee and tea through the day without crossing the cooking zone.

How do you handle dietary requirements?

Most groups now arrive with some combination of vegan, gluten-free, dairy-free and allergy-specific needs.

Our caterer network includes teams who specialise in plant-based, farm-to-table and allergen-conscious menus, and we will point you to the right fit for your group. Allergen protocols are handled by your caterer. What the property contributes is room to work — generous counter space across two kitchens, so separate prep areas can be set up wherever a menu calls for them.

Can we bring a dog?

In special cases, yes. Dogs are welcome in the Carriage House by prior arrangement. The Retreat Centre itself is kept hypoallergenic and pets are not permitted in that building, so that groups with allergy-sensitive participants can stay comfortably.

How far in advance should we book catering?

Sixty to ninety days before your start date, and earlier for peak summer dates between June and September. Once your stay is confirmed we send a directory of local catering partners with sample menus, contacts and dietary specialisms.

How many people does Linwood House sleep?

Eleven guest bedrooms and fifteen beds across two buildings. The Retreat Centre holds seven, including the two-bedroom Garden Suite; the Carriage House holds four. We are best suited to groups of six to fifteen. We are increasing capacity by three beds come spring.

What does it cost to book the venue?

For a buyout, we run approximately $2000/night that covers accommodation.

Plan Your Programme at Linwood House

A property with a dedicated yoga loft, two kitchens and a self-contained facilitator suite removes a good deal of daily friction and keeps your attention where it belongs.
